Waitlist software records who is waiting and in what order, then tells each person when their turn comes, usually by text message. Businesses use it in place of paper lists, pagers and physical lines for tables, service counters, clinic visits, product launches and childcare places.

Seven categories of waitlist software

The catalog sorts products by the kind of waiting they handle. One product can belong to several categories, so the category counts add up to more than 67.

  • Virtual queue & walk-in management: digital lines for walk-in visits. A visitor joins at a kiosk, by scanning a QR code or from a link, waits anywhere, and is called back when staff are free.
  • Restaurant waitlists: lists of walk-in parties waiting for a table. Most products in this group also take reservations, and many add a floor map.
  • Appointment & service waitlists: scheduling and check-in tools for salons, barbershops, spas, fitness studios and similar service businesses, where the waitlist covers walk-ins or fills open slots.
  • Healthcare & clinic waitlists: patient check-in and queue tools for clinics, urgent care, pharmacies and veterinary practices. Listings show a vendor’s SOC 2 or HIPAA business associate agreement claim, with its source, when one was found.
  • Retail & public-service queues: counter and service-desk queues for stores, banks, government offices and campuses.
  • Pre-launch product waitlists: signup lists for software, apps or products that have not launched yet, usually with referral links and leaderboards.
  • Childcare & enrollment waitlists: inquiry, application and waitlist tools for childcare centers, preschools and after-school programs.

How to read the labels

Each listing carries three labels. A fixed rule turns data into each label, and the listing prints the data points behind it, such as “6 iOS updates in the last 12 months”.

  • Update activity (Active, Moderate, Low or Unknown) counts iOS app versions, or entries in the vendor’s public changelog, over the last 12 months, and looks at how recent the last update was.
  • Market presence (Established, Growing, Small or Unknown) draws on the site’s Tranco traffic rank, Google Play installs, whether Chrome’s public user-experience report has data for the site, and the age of the domain.
  • Buying style (Self-serve, Sales-assisted or Sales-led) describes how a buyer reaches a price: public prices and signup without sales (a custom or enterprise plan through sales is noted as a detail), public prices where self-serve signup is not confirmed, or no public prices at all.

Labels describe recorded data. They are not scores, and they are never combined into a ranking. The thresholds are on Methodology.

How to read the pricing flags

  • Starting price is the lowest paid plan that includes the waitlist or queue, in the currency the vendor’s pricing page shows by default.
  • Book a demo for pricing marks a vendor that publishes no prices. A category page can filter for it or filter it out.
  • See vendor pricing page means the vendor publishes pricing, but none of it fits a single starting price under the published rules, for example a usage fee instead of a plan or a price with no stated currency. The listing’s pricing notes describe what the page shows.
  • Free plan reads “Yes” only when the vendor’s pricing page offers a $0 plan that includes the waitlist, or, for a vendor with no pricing page, when its own site plainly says the product is free and the free product includes the waitlist. “No free plan listed” can also mean that a free plan exists but leaves the waitlist out.
  • Free trial gives the trial length the vendor states, or “No free trial listed”.

Feature marks follow the same caution. A feature counts as confirmed only when a vendor page shows it; “Not recorded” means no source was found either way.

Order and sponsorship

Product lists on this site are alphabetical, except that TablesReady’s entry is placed first and labeled as an ad on category and alternatives pages (not on healthcare pages). Category pages add filters for pricing and confirmed features, and a visitor can re-sort by a label, but the default order is A to Z.

Frequently asked questions

How much does waitlist software cost?

Of the 67 products here, 48 publish pricing on a vendor page and 19 ask buyers to book a demo for pricing. A vendor whose own site plainly says the product is free shows as a free product, not as a demo request. The starting price on each listing is the lowest paid plan that includes the waitlist. Text message bundles, extra locations and add-ons can raise the bill, and the listing's pricing notes record them where the vendor's page states them.

Is there free waitlist software?

Fourteen of the 67 products record a free plan that includes the waitlist, each confirmed on a live vendor page. Most of these free plans cap usage, for example with a daily, weekly or monthly limit on bookings, guests, visits or contacts. Separately, 22 products list a free trial.

Is a waitlist the same as reservation or appointment booking?

No. A waitlist orders people who are already waiting or who want the next opening, while reservations and appointments fix a time in advance. Many products do both: 25 of the 67 confirm reservations and 30 confirm appointment booking.

Why do some listings show Update activity: Unknown?

The label needs an update count, which comes from an iOS app's version history or from a public changelog. For 20 of the 67 products neither count is in the data, so the label reads Unknown. That means the data is missing; it does not mean the product has stopped changing.

Who runs WaitlistSoftware.com?

TablesReady, the company behind the TablesReady waitlist app, runs the site. Wherever its own entry is placed first, it is labeled as an ad for the site owner's product, and the rest of each list is alphabetical. No other vendor pays to be listed.
